Create one service per kind of booking, such as “Book ice time” or “Rent a hall”. The service can offer several spaces, including spaces from more than one facility.
Prepare the catalogue first (link to section)
Set up facilities, spaces, combined spaces, equipment, and their availability before configuring the service. See Set up facilities.
The catalogue supplies the space’s base pricing, capacity, booking length, and availability. The service decides which resources applicants can choose and how the request proceeds.
Configure the booking step (link to section)
Add a Facility booking step in the service builder and configure its inspector.
| Setting | What to decide |
|---|---|
| Spaces offered | Which spaces this service makes available. |
| Space selection | Whether an applicant chooses one space or several. |
| Equipment add-ons | Which equipment can accompany the booking. |
| Length | A fixed duration or a choice within the space’s limits. |
| Notice and book-ahead | How soon and how far ahead residents may book. |
| Repeats | Whether recurring dates are offered. |
| Price field | Where to store the total for later steps. |
Put form questions in order (link to section)
Questions used by the booking’s price rules must appear before the booking page. For example, collect the requester type before using it to offer a non-profit rate.
If attendance is collected, connect the intended number question so it can be checked against capacity.
Connect payment and approval (link to section)
When Hold until paid is enabled, place a Payment step after the booking and connect it to the booking’s price field. An unpaid hold can expire and release the space.
When Confirm only after approval is enabled, add a later approving Decision step. A denial or withdrawal releases the reservation.
For split rental payments, the booking step can collect a first instalment now and the balance later. Choose the amount and balance deadline, and keep the later Payment step connected to the booking’s price field.
Preview realistic bookings (link to section)
Try a normal booking, a conflicting date, a combined space, an equipment limit, and any repeating dates. Check the calculated price and follow the approval or payment route.
Test any overnight stay across a closure or a weekend rule before publication. Review the confirmation and cancellation wording alongside the booking settings.
Publish only after the service review is complete.
