Set up the facility catalogue before creating a booking service. Keep the catalogue organized the way residents recognize your buildings and spaces.
Use two levels (link to section)
A facility is a building or site. Spaces and equipment belong directly to it; there are no deeper levels.
| Kind | Example | What to configure |
|---|---|---|
| Facility | Lakeview Arena | Address, time zone, opening hours, and building-wide closures. |
| Space | Ice Surface A | Capacity, features, rates, booking length, and set-up buffer. |
| Combined space | All ice surfaces | The spaces that must be held together. |
| Equipment | Folding tables | Quantity available and its rate. |

Lakeview Arena
├── Ice Surface A
├── Ice Surface B
├── All ice surfaces (A + B)
├── Banquet Hall
└── Folding tables (40 available)
Set the arena’s normal hours and building-wide closures once. Give a space its own hours or closures only when they differ from the building’s.
Use names residents see on signs, such as “Banquet Hall”. Put directions in the description rather than naming the space “Upstairs”.
Configure spaces and equipment (link to section)
For each space, check its capacity, features, hourly rate or fee per date, booking intervals, shortest and longest booking, and set-up buffer.
A combined space lists the individual spaces it includes. Booking the combined space holds its parts; booking a part prevents someone else from reserving the whole.
Equipment is counted by quantity. Store it under the facility where it is kept, so a service can offer it alongside the relevant spaces.
Set availability (link to section)
Choose the facility’s time zone and normal booking hours. Add whole-building closures, then add exceptions for individual spaces where necessary.
The set-up buffer keeps time clear after a booking for set-up and clean-up. Check it against the actual turnaround your team needs.
For an overnight space, enable overnight bookings and set a maximum length that covers the whole stay. Hours must cover every occupied part of every day; a closure in the middle blocks the stay.
