For a first service, choose a small process with a clear outcome. A request to rent a Lakeview meeting room is easier to review than a process with many departments and exceptions.
Before you begin (link to section)
Identify who will own the service, who will process requests, and who can publish it. You need permission to create and edit services; publication may belong to a different role.
Gather the questions applicants must answer, any required files, and the criteria staff use to make a decision.
Start from a template (link to section)
- Open Service templates in the workspace sidebar.
- Choose a template close to your process.
- Create a service from it and give the service a clear, resident-facing name.
- Open its draft in the builder.
Use a name that describes what a person is doing, such as “Rent a meeting room”. Avoid department abbreviations residents may not recognize.
Shape the form (link to section)
Review every question supplied by the template. Keep only information staff need to process the request.
Group related questions on form pages, write visible labels, and add short help text where the answer format needs explanation. Mark a question required only when the request cannot proceed without it.
See Forms and questions for a review checklist.
Connect the route (link to section)
Check the steps after submission. Decide where staff need to complete a task, make a decision, or send an update.
Give human tasks and decisions an assignment. Connect every outcome to its next step, and make sure each route can reach an end.
For a booking service, configure the facilities first and then follow Create a booking service.
Preview and request review (link to section)
- Save the draft.
- Preview the applicant’s form with fictional information.
- Check required fields and every conditional route.
- Review task assignments, notification wording, and outcomes.
- Resolve the issues shown during review.
- Have an authorized publisher publish the reviewed configuration.
Saving and publishing are separate actions. A saved draft does not replace the live service.
Continue with Review and publish before making the service available to residents.
